Graduation Guidelines for Faculty Members and Institute/System Officials 47th Commencement Ceremonies (7th Midyear Graduation)

Schedule of Graduation-Related Activities

Baccalaureate Ceremonies: Jan. 26, 2017, Thursday, 7:00 am, 缅北禁地-IIT Gymnasium

Assembly Time/Venue: 6:00 am / Along Magkuno Street (fronting CSM, CBAA)

Processional: 6:30am

Checking of Attendance: 6:00 – 6:30 am

 

Commencement Ceremonies: Jan. 26, 2017, Thursday, 9:00 am, 缅北禁地-IIT Gymnasium

Checking of Attendance: 8:00 – 9:00 am        

 

Baccalaureate Ceremonies:
The ceremonies shall consist of the following:
1) Processional  2) Invocation  3) Baccalaureate Prayers and Message  4) Prayer Response 5) Presentation of Tokens and Love Offerings to the Spiritual Leaders, and 6) Recessional

Commencement Ceremonies:

The ceremonies shall consist of the following:

1) Processional,  2) Entry of Colors, 3) Invocation, 4) Pambansang Awit,  5) Welcome Address, 6) Introduction of the Commencement Speaker,  7) Commencement Address,  8) Presentation of Plaque of Appreciation and Tokens, 9) Presentation of Academic and Co-curricular Awards, 10) Presentation of the Candidates for Graduation, 11) Conferment of Titles, 12) Acknowledgement to Parents, 13) Acknowledgement to Faculty Members,  14) Choral Rendition, 15) Valedictory Address, 16) Graduation Song, 17) Oath Taking of the Graduates, 18) Pledge of Loyalty to the Alma Mater,  19) Himno ng Pamantasan, 20) Exit of Colors, and 21) Recessional

Attendance:  

  • All members of the Institute Council, i.e., faculty members with ranks of Asst. Prof. and up, are required to attend the Baccalaureate and Commencement Ceremonies. Attendance is checked before the Baccalaureate and Commencement Ceremonies by an appointed person in one’s School/College.
  • If the concerned faculty member is unable to attend the Baccalaureate or Commencement Ceremonies, an excuse letter must be submitted to the Office of the Vice Chancellor for Academic Affairs, through the Registrar’s Office, and duly recommended for appropriate action by the College/School  Dean.
  • Appropriate leave must be filed for an unexcused absence.
  • All cost center heads are also required to attend the ceremonies. A Memorandum to this effect will be issued by the Office of the Chancellor.
  • Punctuality in all graduation-related activities must be observed.
  • CCTV’s will be installed  by the members of the Video Streaming Committee, in coordination with the Security Committee, in strategic locations to monitor, among others, faculty members and officials who leave the ceremonies early. Per video recording, the same Faculty Members and Officials will be reported to top management by the Registrar’s Office for appropriate action.

 

Vehicle Parking:

  • Per Institute policy, only vehicles with stickers obtained from the Security Office can enter the campus.
  • Before the processional, vehicles of faculty members and System officials with stickers, including those given priority numbers by the Security Office, are allowed to be driven up to the vicinity of the gymnasium and to park in areas designated by the Security Office. Parking of faculty and staff vehicles are on a first-come-first-served basis and is subject to availability of space.
  • During the processional, vehicles of faculty members, staff and others with stickers are allowed to enter the campus but up to the Molave Street (fronting the Library) only.  After entering the Entrance Gate (near the administration building), a right turn must be done at Molave Street (fronting the library). Here is where one may alight from the vehicle.  Another right turn must then be done at the 12th of July Street (fronting the Security Office) until the Exit Gate where the vehicle then leaves the campus.
  • During the processional, only vehicles that ferry dignitaries who will participate in the ceremonies will be allowed to enter the campus beyond the intersection in front of the Security Office.

 

Academic Regalia:

  • The prescribed academic regalia should be worn throughout the ceremonies.
  • The prescribed academic regalia is the academic regalia of the Alma Mater of the concerned faculty member or Institute/System official. However, if the latter so decides, the academic regalia of 缅北禁地S may be used.
  • It must be emphasized that the sablay worn by UP alumni is matched with traditional Filipino attire, e.g., barong tagalog for men, Filipiniana or white/off-white semi-formal dress for women.
  • The academic regalia must be well-pressed and the hood, if any, must be properly restrained.
  • The hem of the academic regalia must be below the knees.  
  • No corsage, or any adornment, shall be worn with the academic regalia. Bags are discouraged from being carried.
  • A female faculty member or Institute/System official should wear, underneath her academic regalia, a semi-formal dress. Closed black shoes, and no sandals, should be worn. No pants or slacks shall be allowed.
  • A female faculty member or Institute/System official shall manage her hair in such a way that the cap sits comfortably on her head.
  • A male faculty member or Institute/System official shall wear his academic regalia with a polo shirt, dark pants or slacks, and black shoes with socks.  Sneakers and maong/denim pants shall not be allowed. He should not wear earrings or any other unauthorized adornment.

 

Faculty Members or Institute System Officials Acting as Parents, Guardians or Guests:

  • Each candidate is entitled to six (6)  I.D. cards. One (1) for the candidate and five (5) for the parents/guardians/guests. The card serves as an entry pass to the gymnasium.
  • The I.D. card must be pinned on the left chest and must be visible for security personnel to check upon entering the gymnasium.
  • Parents/guardians, including faculty members or Institute officials who are parents/guardians of the candidates, may be asked to open their bags and packages for inspection by the security personnel at the gym entrance.
  • Children under seven (7) years old are strictly not allowed inside the gymnasium. Parents/guardians with children under 7 years old will be advised to view the ceremonies at one of our designated live-streaming areas.
  • All parents/guardians and guests will sit on the bleachers.
  • All seats are on a first-come-first-served basis.  Parents/guardians and guests must be seated before the start of the ceremonies. They may not be allowed to enter the gymnasium once the ceremonies have started.
  • Parents/guardians and guests are not allowed to enter the gymnasium ground floor or ask a favor from the ushers/usherettes to hand-over anything to the candidates, except on emergency situations.
  • Parents/guardians and guests are requested to wear semi-formal or business attires.
  • Parents/guardians and guests are allowed to take pictures only from their seats. Candidates, however, are not allowed to take pictures, even on their seats, during the entire ceremonies.  
  • Only official photographers are allowed to take pictures on the ground floor during the ceremonies.
  • Silence must be maintained during the ceremonies. Cell phones and other electronic devices should be turned off or placed in silent/vibrate mode. Texting and calling are strictly discouraged, except on emergency situations.

 

Before and After the Baccalaureate Ceremonies:

  • Faculty members and concerned Institute officials shall assemble outside the gymnasium by 6:00 am. Faculty attendance will be checked by the respective Colleges/Schools.
  • Faculty members shall arrange themselves in two files, regardless of their colleges/schools. They will be joining the processional following the candidates for graduation. Following the faculty members are the Institute Officials.
  • Processional starts promptly at 6:30 am. Faculty members and concerned Institute Officials march passing through the aisle to the seats located at the back of the candidates.
  • Everyone shall continue to remain standing until the singing of the National Anthem.
  • Caps must be worn at all times during the ceremonies.
  • After the ceremonies, the dignitaries on stage and the members of the Institute Council together with the Institute Officials will join the recessional, where the order will now be reversed.

 

During the Commencement Ceremonies:

  • Members of the Institute Council and Institute Officials shall lead the processional for the Commencement Ceremonies and follow the same procedure as in the Baccalaureate Ceremonies.
  • They shall remain standing until the invocation and the singing of the National Anthem.
  • There shall be mass applause but only at appropriate times as may be directed by the Stage Marshal.

 

After the Ceremonies:

  • The Exit of Colors immediately follows the singing of the Himno ng Pamantasan. This is followed by the Institute Registrar and BOR Secretary.
  • The recessional will be led by the University President, the Guest Speaker and the Institute Chancellor and followed by the System officials, the Vice Chancellors, then by the Deans.  
  • Members of the Institute Council and concerned Institute officials will follow the Deans.
  • The recessional march must not be broken until the exit from the gymnasium.
  • Expressions of congratulations and giving of flowers, leis or gifts should be done outside the gymnasium after the recessional.  The graduates and their parents and faculty advisers may, however, return to the gymnasium after the recessional for pictorials.
